WhatsApp Cloud API Setup: A Checklist for Small Businesses

Plan your WhatsApp Cloud API setup with a practical checklist covering account ownership, customer journeys, team access and launch testing.

Start with a customer journey, not a tool

Before choosing an API provider, decide what you need customers to do: ask for a quotation, receive an order update or book an appointment. Map one journey first. A simple flow with a clear owner is easier to launch than a large chatbot covering every department.

Write down where the enquiry arrives, which system holds the customer record and who replies when automation cannot help. This becomes your implementation brief.

Prepare the handover checklist

  • Use business-owned accounts and record who controls administrator access.
  • Confirm access to the intended phone number and discuss migration requirements before changing an existing setup.
  • Prepare the business name, website and support contact information.
  • Decide which staff need access and who can approve message changes.
  • List the CRM, order system or booking tool that needs to exchange data.

Agree on scope before paying

Ask your implementation partner to separate onboarding, inbox software, integration work and ongoing support in the quotation. Clarify who owns the account, how access is handed back and what happens if you change providers. An API connection alone is not the same as a staffed support inbox.

Test the whole conversation

Run a test enquiry from a customer phone. Confirm that the conversation reaches the correct agent, replies return to the customer and the record is visible in your CRM. Test a duplicate enquiry, an unavailable agent and an unexpected customer response. Keep a written launch checklist with the person responsible for each check.

Frequently asked questions

Do I need to build a custom CRM?

No. First check whether your existing tools can support the workflow. Custom development is justified when a specific business requirement cannot be handled by an existing integration.

Should every enquiry be automated?

No. Pricing disputes, unusual requests and sensitive conversations often need a person. Make escalation easy to find.

Your next step
